Job Overview

Position Summary: The Public Records Act Analyst/Paralegal plays a crucial role in managing public records requests for our agency clients. This position involves thorough analysis and collaboration with various stakeholders to ensure compliance with public records laws.

Key Responsibilities:

  • Monitor and document public records requests submitted to agency clients.
  • Evaluate the scope of public records requests to guide the agency in conducting comprehensive searches for relevant documents.
  • Coordinate with agency personnel to facilitate the transfer of documents to legal teams for examination, ensuring a thorough review of databases to assess document relevance.
  • Assist legal professionals in drafting formal response letters to requesters, adhering to statutory deadlines for record provision.
  • Examine client records, both written and electronic, in collaboration with legal counsel to safeguard against unauthorized disclosures.
  • Analyze extensive records to identify significant legal and public policy matters, advising attorneys on effective communication strategies prior to record release.
  • Represent the agency's legal interests with professionalism and courtesy in all interactions with the public and other entities.
  • Conduct research on applicable state laws, statutory provisions, and case law related to the California Public Records Act.
  • Perform legal and public records research, summarizing findings and proposing actionable recommendations to attorneys.
  • Draft and proofread legal documents and correspondence, ensuring accuracy in spelling, grammar, and formatting.
  • Maintain an organized calendar to track critical deadlines.
  • Implement control measures for efficient document retrieval and management.

Qualifications:

  • Bachelor's degree from an accredited institution or equivalent professional experience.
  • Completion of a paralegal program accredited by the ABA.
  • A minimum of three years of experience in electronic document review within a legal or governmental context.
