Key Responsibilities:
- Monitor and manage incoming public records requests submitted to agency clients.
- Evaluate the scope of each request and collaborate with agency personnel to identify and retrieve relevant documents.
- Facilitate the transfer of documents to legal teams for thorough examination, ensuring proper classification of documents as privileged or exempt when necessary.
- Assist legal counsel in drafting response letters to requesters, adhering to deadlines to guarantee timely compliance with public records laws.
- Conduct comprehensive reviews of client records (including written, verbal, and electronic formats) to prevent unauthorized disclosures.
- Analyze large volumes of records to identify significant legal and public policy issues, advising attorneys on effective communication strategies for client discussions.
- Act as a liaison for public agency counsel, maintaining professionalism and courtesy in all interactions with stakeholders.
- Research applicable state laws, statutes, and case law related to public records compliance.
- Perform legal and public records research, summarizing findings and proposing actionable recommendations to the assigning attorney.
- Draft and proofread legal documents and correspondence, ensuring accuracy in language and format.
- Maintain an organized calendar to track critical deadlines and deliverables.
- Develop and manage databases for efficient retrieval and control of public records.
Qualifications:
- Bachelor's degree in a relevant field from an accredited institution or equivalent professional experience.
- Certification as a paralegal from an ABA-approved program.
- A minimum of three years of experience in electronic document review within a legal or governmental context.
