Job OverviewPOSITION SUMMARY:
The Insurance Customer Service Representative / Administrative Assistant is tasked with managing data entry and delivering exceptional customer service. This role involves assisting agents with lead generation, marketing initiatives, and insurance quotations across various lines including Commercial, Personal, Life, and Benefits Accounts.

KEY RESPONSIBILITIES:
  • Provide customer service by answering phone calls and welcoming clients.
  • Review and process insurance documentation, ensuring completeness and accuracy.
  • Handle customer payments and ensure proper processing.
  • Maintain an inventory of office supplies.
  • Serve as a backup for other roles as needed.
  • Organize and maintain confidential customer insurance files.
  • Identify and cultivate insurance leads and suitable markets.
  • Develop and maintain lists of clients and prospects.
  • Prepare insurance proposals and conduct sales presentations to potential clients, securing new and renewal policies.
  • Complete and submit applications and necessary documentation to relevant insurance markets.
  • Prepare and send binders to insured clients.
  • Inform clients about agency payment expectations and cancellation policies.
  • Document coverage limitations and binding restrictions to minimize errors and omissions.
  • Travel may be required for certain responsibilities.
Retention and Ongoing Marketing:
  • Clarify coverage options and exclusions, documenting these discussions in the CRM for future reference.
  • Collaborate with clients to ensure adequate coverage limits.
  • Provide necessary information to company personnel regarding clients, documenting transactions by date.
  • Draft letters to clients offering coverage options and sharing insights on insurance matters.
  • Annually review existing policy coverages to enhance accounts and remarket as needed.
  • Assist producers in gathering client information for insurance schedules, summaries, and renewal proposals.
  • Review policy change requests and other account activities.
  • Maintain automated files as appropriate, using client interactions as opportunities for coverage reviews and marketing.
  • Advise insured clients on loss control programs, collaborating with company loss control staff.
  • Contact insured clients to assist in the collection of overdue premiums or audit amounts.
  • Achieve retention goals for assigned accounts at each renewal.
  • Continue to foster relationships with insured clients.
  • Accept and perform additional duties as assigned by management.
Personal and Professional Development:
  • Identify training needs with support from management.
  • Create a personal development plan and take initiative for continuous learning and skill enhancement.
  • Read and comprehend technical manuals and insurance information from various sources.
REQUIRED SKILLS AND QUALIFICATIONS:
  • Strong verbal and written communication skills to explain complex issues and interpret detailed information.
  • Ability to understand and interpret both written and oral communication.
  • Capability to obtain necessary licensing (Property and Casualty License).
  • Proven ability to generate new business, retain existing clients, and close sales in the insurance sector.
  • Competence in managing complex tasks with both concrete and abstract variables.
  • Proficiency in utilizing computer programs and understanding their functionalities.
