Role Overview

The Operations Support Specialist is responsible for managing invoicing, accounts payable (including addressing outstanding debts), and data reporting for various initiatives efficiently. This position also involves aiding in the creation, upkeep, and dissemination of documents such as standard operating procedures (SOPs), best practices, and templates through shared drives or SharePoint sites. The successful candidate will comply with all client-specific requirements concerning reporting and invoicing.
  • Timely creation and delivery of reports and invoices in the specified format.
  • Efficient management of data within Oracle and the project planning database.
  • Collaboration with internal and external stakeholders to troubleshoot system issues and conduct quality assurance checks on laboratory and field data.
  • Oversight and submission of vendor invoices.
  • Management of vendor relationships.
  • Monitoring and mitigation of outstanding debts, working closely with accounts payable.
  • Development, delivery, maintenance, and storage of Standard Operating Procedures.
  • Inventory management and ordering of supplies, consumables, and equipment.
  • Execution of additional duties as assigned.
Qualifications
  • Associate degree in business, sciences, or a related field, or an equivalent combination of education and experience.
  • A minimum of 1 year of experience in Business, Accounting, Accounts Payable, Procurement, or a related field.
  • Associate or Bachelor's degree in Business Administration or a related field is preferred; degrees in other fields will also be considered, along with equivalent work experience.
  • At least 2 years of experience in Business, Accounting, Accounts Payable, Procurement, or a related field is preferred.
