Position Overview

The Spokane Business Association is in search of a committed and skilled Executive Support Specialist to assist senior leadership and the Board of Directors. This role is essential for maintaining efficient operations within the organization and providing support to the Chief Executive Officer and Policy Director.

Key Responsibilities:

  • Uphold the professional image of the SBA and the CEO at all times.
  • Act as the primary point of contact for inquiries from various stakeholders, including SBA members, elected officials, board members, and the public.
  • Oversee a busy and dynamic schedule for the CEO, SBA staff, and board members, collaborating with external executive assistants or staff as necessary for meetings and events.
  • Promptly and professionally manage email and postal correspondence, ensuring proper filing, responses, and referrals as needed.
  • Handle incoming phone calls with professionalism.
  • Develop and maintain essential documents such as expense reports, correspondence, agendas, reports, and meeting notes.
  • Assist in the organization and preparation of staff meetings and special events.
  • Keep board contact information and committee assignments current and accurate.
  • Facilitate communication between the Chief Executive Officer and board members as required.
  • Coordinate activities for designated organizational projects.
  • Perform additional duties as assigned to meet organizational needs.

Required Qualifications:

  • 3 to 5 years of experience providing support to C-Level Executives or senior managers, ideally in a corporate environment.
  • Proficient in utilizing technology to manage a busy office, particularly the Microsoft Office suite, with a focus on Word and Excel.
  • Outstanding written and verbal communication skills.
  • Highly organized, detail-oriented, and capable of adhering to procedures, meeting deadlines, and adjusting to shifting priorities.
  • Ability to work efficiently with minimal supervision.
  • Competent in managing multiple projects simultaneously.
  • Quick learner with strong critical thinking skills and the ability to make sound decisions in various situations.
  • Excellent interpersonal skills and a strong organizational mindset.
  • Proven ability to maintain confidentiality and discretion in all business matters, ensuring the privacy of SBA operations and members.
