Position: Administrative Support Specialist
The Administrative Support Specialist plays a vital role in delivering clerical assistance within the designated office environment, adhering to company protocols, client requirements, and compliance standards.
Compensation: $19.00 per hour, based on experience.

Key Responsibilities:
- Manage incoming calls, directing them to the appropriate personnel and documenting messages for distribution.
- Welcome visitors to the office, guiding them to the right staff and coordinating appointments as needed.
- Address basic inquiries from participants, beneficiaries, and union representatives regarding benefit plans.
- Maintain a professional and organized reception area.
- Perform clerical tasks such as filing, document preparation, photocopying, scanning, faxing, collating, and data entry as required.
- Sort and distribute mail for various departments, ensuring timely delivery to the right individuals or teams.
- Verify billing information by contacting providers.
- Operate mailroom equipment, including postage meters and scales, and manage supply orders for office materials.
- Assist with the organization and retrieval of files from storage.
- Coordinate document shredding services as necessary.
- Support all departments with mailing, printing, and envelope preparation.
- Handle requests for office equipment repairs.
- Monitor office supply inventory and initiate orders as needed.
- Prepare and dispatch outgoing mail and UPS shipments.
- Assist the claims team with check deposits, ensuring checks are secured and properly logged.
- Notify relevant personnel regarding subrogation checks.
- Generate reports for postage machine usage for Client Services.
Minimum Qualifications:
- High School Diploma or GED required.
- At least 1 year of experience in office administration or a related field.
- Strong work ethic and ability to work collaboratively within a team.
- High level of integrity and commitment to customer service.
- Excellent verbal and written communication skills.
- Strong organizational skills with attention to detail.
- Adept at reading and interpreting business materials, technical procedures, and regulations.
- Proficient in Microsoft Word and Excel.
- Ability to operate standard office equipment.
- Capable of working independently, managing multiple tasks, and meeting deadlines.
- Experience with office equipment maintenance and minor repairs is a plus.
- Consistent attendance and punctuality are essential.
