The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Overview

CIESIN is seeking qualified candidates for the position of Pre & Post Award Financial Analyst to enhance our Finance and Grants operations. The successful candidate will play a crucial role in managing all grant-related pre-award administrative functions, which includes aiding principal investigators in the preparation and submission of proposals. Additionally, the analyst will ensure efficient post-award accounting, management, and reconciliation of sponsored funding, acting as a liaison with Sponsored Projects Administration, Sponsored Projects Finance, and other departments to guarantee proper grant management.

The Pre & Post Award Financial Analyst will ensure compliance with federal, state, and private agency regulations throughout the administration of sponsored programs related to research. This role will report directly to the Associate Director of Finance & Administration and collaborate closely with the Senior Finance Manager.

Key Responsibilities

Pre-Award Duties:

  • Assist in formulating grant budgets and justifications in alignment with sponsor/donor and institutional policies;
  • Review budgets, ensuring adherence to agency and University regulations regarding submissions and verifying all financial data, including the appropriate overhead rate;
  • Coordinate and assess proposal elements (bio-sketches and facilities & resources) for accuracy and completeness;
  • Ensure proposals comply with sponsor guidelines regarding budget, format, and other specifications;
  • Monitor proposal progress and advise PIs on requirements and deadlines;
  • Compile and prepare all components of grant submissions, ensuring compliance with granting agency requirements;
  • Generate summary reports of application submissions and outcomes for the Associate Director of Finance & Administration;
  • Foster positive relationships with funding agencies and internal offices;
  • Collaborate effectively with Principal Investigators and staff in all aspects of grant administration;
  • Facilitate a seamless transition into the post-award phase of grant administration.

Post-Award Duties:

  • Provide comprehensive post-award accounting, management, and reconciliation support to faculty and administrators;
  • Review new Notices of Awards and communicate essential award terms to PIs, updating budgets as necessary;
  • Monitor assigned awards to ensure compliance with university and agency requirements;
  • Regularly interface with SPA and SPF offices, preparing and submitting budget modifications and financial reconciliations;
  • Maintain accurate and comprehensive records of incoming and existing awards;
  • Conduct regular meetings with PIs to discuss grant status and future plans, advising on budgetary issues;
  • Review and process salary charges to ensure alignment with funding and award requirements;
  • Ensure all non-salary expenses are compliant and facilitate their processing;
  • Oversee timely submission of required progress reports to sponsors;
  • Assist PIs and staff in resolving project-related administrative challenges;
  • Support annual effort reporting and compliance processes;
  • Review Concur Travel & Business Expense Reports for accuracy;
  • Ensure adherence to award regulatory terms and University policies.

Additional Responsibilities:

  • Act as a Back-Up PCard Holder to assist with departmental purchasing needs.
  • Perform other related duties as assigned.

Minimum Qualifications

  • Bachelor's degree with two years of experience in Finance and Sponsored Research Administration, preferably in higher education.
  • Proficiency in Microsoft Office, particularly Excel.
  • Strong time-management, organizational, analytical, and problem-solving skills.
  • Ability to handle confidential data with discretion.
  • Self-motivated with the capacity to manage multiple priorities in a dynamic environment.
  • Excellent communication skills, both written and verbal.
  • Ability to establish effective working relationships across all levels of the institution.
  • Independent judgment and initiative within established guidelines.

Other Requirements

  • Commitment to advancing diversity and inclusion.
  • Familiarity with PeopleSoft or other ERP systems is advantageous.
  • Knowledge of Federal and Non-Federal sponsored research guidelines is preferred.
