Position Description:
IDS is actively seeking an Air Force Program Administration Specialist.

Candidates for this role should possess experience collaborating with the Department of Defense (DoD) in various domains, including Education Management, Unit Deployment/Readiness Management, Enlisted and Officer Performance Report Management, Supplies Management, Space Allocation Management, Executive Support Services, and Manpower and Personnel Management.

Responsibilities in these areas encompass, but are not limited to:

Education Management

- Strategize, organize, oversee, and assess the training and professional development initiatives for assigned personnel.
- Facilitate the Air Force training program to ensure personnel receive necessary initial, recurring, and annual training to meet mission objectives.
- Collaborate with functional organizations and the unit's Government Purchase Card (GPC) holder to secure cost-effective training solutions.
- Develop, maintain, and revise the training budget and obligation forecasts.
- Coordinate with functional organizations regarding non-governmental training courses prior to procurement.
- Disseminate training opportunities to the target audience.
- Support the professional and career development training program, ensuring accurate and complete employee training history records.
- Maintain and monitor Basic Developmental Education (BDE), Acquisition Program Development Plan (APDP), and Individual Development Plan (IDP).
- Update training data in databases to track and coordinate efforts.
- Announce developmental opportunities to personnel.
- Ensure employees complete all necessary training to meet their professional development and career advancement goals.

Unit Deployment/Readiness Management

- Assist in managing the unit's deployment and readiness program.
- Prepare for deployment and redeployment activities.
- Monitor and track personnel and equipment during deployment.
- Review deployment tasking planning documents.

- Input, extract, and analyze data in automated information systems such as the Status of Resources and Training System (SORTS) and the AEF Reporting Tool (ART).

- Analyze emergency action messages and propose solutions.
- Oversee the organization's Inspector General activities.
- Develop crisis action procedures in collaboration with other organizations.
- Maintain close coordination between operations, logistics, and support organizations to enhance mission support.
- Analyze and recommend requirements for the forward movement of forces.
- Manage the Self Inspection Program (SIP).
- Integrate redeployment planning actions with functional area representatives.

Enlisted and Officer Performance Report Management

- Maintain and update the organization's military performance reports, feedback, and promotion programs.
- Provide weekly status updates regarding the performance report program, including timeliness statistics.
- Develop semi-annual briefings on performance report policies, duty titles, and changes in reporting officials, directives, and regulations.
- Schedule and monitor performance report processing.
- Maintain and update information in databases to track and coordinate efforts.

Supplies Management

- Gather and document requirements for accountable and non-accountable supplies and equipment.
- Process requisitions efficiently.
- Maintain inventories of accountable and non-accountable supplies and equipment.

Space Allocation Management

- Monitor organizational space allocation needs.
- Develop, maintain, and update reports on organizational space utilization, including personnel assignments.

Executive Support Services

- Provide executive support services, including preparing reports, papers, and briefings, as well as managing communications policies and templates.
- Draft correspondence and maintain appointment calendars and conference room schedules.
- Schedule meetings and conferences, including those involving external staff.
- Answer telephones, forward messages, and respond to routine inquiries.
- Act as Travel Clerk and perform Defense Travel System functions for travelers.

- Assist in coordinating, consolidating, analyzing, distributing, and monitoring action items, suspenses, and responses, including supporting management of actions in TMT.

- Support records management activities, retrieve products from government information repositories, and provide inputs and recommendations regarding administrative and office management processes.

- Prepare agendas, reports, and briefings for staff meetings.

Manpower and Personnel Management

- Coordinate all personnel management activities with associated management personnel.
- Provide guidance and recommendations to organizational personnel for completing manpower and personnel documentation.
- Maintain the unit personnel management roster and related organizational rosters.
- Update information in databases to track and coordinate efforts.

- Assist in drafting and maintaining office plans and procedures, including accurate organizational baselines, organizational charts, functional statements, mission descriptions, and telephone directories.


Knowledge and Skills:
This position requires a minimum of 8 years of experience, with at least 6 years of direct DoD experience in one or more of the specified areas listed above.

Education and Work Experience:
A bachelor's degree in business management or a related field is preferred but not mandatory.

Physical & Mental Qualifications:
Must be capable of sitting, typing, hearing, seeing, and speaking for extended periods.
Must consistently work and type on a computer for prolonged durations.
Must effectively communicate accurate information and ideas for understanding.
Must be able to lift and carry at least 15 lbs.
May be required to navigate within an office to access file cabinets and supplies.

Security Clearance:

Selected candidates will undergo a Federal background investigation and must meet additional eligibility requirements for access to classified information or materials.


Travel:
Some travel may be necessary.

Hours:
Normal work schedule hours may vary, Monday through Friday. Additional hours and/or weekends may be required to meet deadlines or fulfill travel obligations.

Salary Range:
$70,000 - $110,000 per year

The estimated salary range provided is a good faith determination of potential base compensation that may be offered to a successful applicant for this position and may be subject to modification in the future.

The disclosed salary range estimate has not been adjusted for the applicable geographic differential associated with the location of the position.

When determining an applicant's compensation, various factors are considered, including geographic location, relevant prior work experience, training, special skills/competencies, education, clearance, licenses/certifications, labor categories/contract rates, and other business needs.

IDS offers a comprehensive benefits package, including employer-paid health, dental, vision, disability, AD&D, and life insurance plans for eligible employees.

IDS also provides a variety of elective plans to eligible employees, including flexible spending accounts, voluntary life insurance, and supplemental insurance plans.

Benefits become effective on the first of the month following the start date of employment unless starting on the 1st of the month, in which case benefits are effective immediately upon the eligible employee's start date.

IDS offers eligible employees eleven (11) paid holidays, generous PTO accruals starting at three (3) weeks per year, and a 401(k) safe harbor contribution upon eligibility.

IDS also provides generous employee referral bonuses.
