Role Summary:

We are in search of a proactive and enthusiastic Front Desk Office Manager to enhance our vibrant team. As the initial point of contact for our clientele, you will be essential in delivering a friendly and efficient experience. Your responsibilities will encompass overseeing front desk operations, managing appointment schedules, and ensuring our wellness team operates smoothly. You will also engage in promoting wellness products, managing client check-ins and check-outs, and conducting follow-ups to ensure client satisfaction.

Key Responsibilities:

  • Welcome and assist clients with a professional and friendly approach, ensuring a positive initial interaction.
  • Efficiently manage the check-in and check-out procedures to provide a seamless experience for all clients.
  • Oversee and coordinate the schedules of wellness staff to maintain operational effectiveness.
  • Promote wellness products and services to clients, offering personalized recommendations.
  • Conduct follow-ups with clients before and after their appointments to ensure satisfaction and encourage repeat visits.
  • Maintain accurate records using customer management software, with a preference for familiarity with Vagaro.
  • Provide administrative support, including managing phone inquiries and emails.
  • Ensure the front desk area is organized, tidy, and stocked with necessary supplies.
  • Collaborate with management to refine and enhance office procedures.
  • Demonstrate flexibility in scheduling, with availability for early mornings, daytime shifts, and occasional weekends.

Qualifications:

  • Demonstrated experience in an office management or front desk role, ideally within the wellness or healthcare sectors.
  • Exceptional organizational skills with a strong attention to detail.
  • Outstanding communication and interpersonal abilities, coupled with a friendly and positive demeanor.
  • Proficient in customer management software; experience with Vagaro is advantageous.
  • Capability to multitask and prioritize effectively in a fast-paced environment.
  • A genuine passion for health and wellness, with a desire for long-term career growth in the industry.
  • Willingness to work early mornings, daytime shifts, and occasional weekends as required.
