Full-time Administrative Assistant Position

HyperCare Management LLC is seeking a dedicated full-time Administrative Assistant.

Position Summary:
The Administrative Assistant will collaborate closely with the Director of Finance and other team members within the finance department to fulfill their administrative requirements. This includes support with spreadsheets, travel arrangements, expense documentation, and efficient document management.Key Responsibilities:
  • Provide assistance to the Director of Finance in coordinating meetings and executing various assigned tasks.
  • Support project initiatives, roll-outs, and grant management as necessary.
  • Administer platforms such as SAP Concur, Bank of America, and Amazon Business Prime.
  • Retrieve and manage invoices from the document management system for different projects.
  • Download and maintain records of company credit card statements.
  • Keep a detailed log of credit limits, adjustments, and overdue expense reports.
  • Facilitate requests for credit card limit increases.
  • Investigate transaction declines and discrepancies.
  • Collect signatures for essential documents and ensure proper distribution.
  • Handle various filing tasks, mail management, and communication distribution as required.
  • Maintain office supply inventory and place orders for additional supplies as needed.
  • Collaborate on spreadsheets with the executive team as assigned.
  • Request postage and manage the postage machine's updates.
  • Order kitchen and restroom supplies while ensuring cleanliness and organization.
Qualifications:
Education:
  • High school diploma or equivalent.
  • Completion of two years of college coursework.
Experience:
  • Minimum of 2 years of experience in an office setting.
  • Proficient in Microsoft Office applications, including Outlook and Excel.
Skills and Abilities:
  • Expertise in Microsoft applications.
  • Effective communication skills with management, staff, and visitors.
  • Strong computer skills and proficiency in the Microsoft Office suite.
  • Detail-oriented with a focus on accuracy and confidentiality.
  • Experience with SAP Concur is advantageous.
  • An active notary commission for Kentucky or willingness to obtain one is a plus.
