Hyper Care Management LLC is seeking a dedicated full-time Administrative Coordinator.

Position Summary:
The Administrative Coordinator collaborates closely with the Finance Director and other members of the finance team to fulfill their administrative requirements, including spreadsheet management, travel arrangements, expense tracking, and document organization. This role also serves as a secondary administrator for various software platforms and applications.Qualifications:
  • Education:
    • High school diploma or equivalent required
    • Completion of two years of college preferred
  • Experience:
    • Minimum of 2 years in an office setting.
    • Proficient in Microsoft Office applications, particularly Outlook and Excel
Key Responsibilities:
  • Support the Finance Director in coordinating meetings and performing additional assigned tasks
  • Assist with various projects, implementations, and grant management as necessary
  • Manage administration tasks for SAP Concur, Bank of America, and Amazon Business Prime
  • Retrieve and organize invoices from the document management system for different projects
  • Download and maintain records of company credit card statements
  • Keep a detailed log of credit limits, adjustments, and overdue expense reports
  • Facilitate requests for credit card limit increases
  • Investigate declined transactions and related issues
  • Collect signatures for various documents and ensure proper distribution
  • Handle filing, mail management, and communication distribution as required
  • Maintain appropriate office supply levels and place orders as needed
  • Collaborate on spreadsheets with the executive team as assigned
  • Request postage and manage the postage machine updating process
  • Order supplies for kitchen and restroom areas, ensuring cleanliness and orderliness
Skills and Abilities:
  • Expertise in Microsoft Office applications.
  • Effective communication skills with management, staff, and visitors.
  • Proficient in computer usage and Microsoft Office suite.
  • Detail-oriented with a focus on accuracy and clarity.
  • Ability to maintain confidentiality of sensitive information.
  • Experience with SAP Concur is advantageous
  • Possession of an active notary commission for Kentucky or willingness to obtain one is a plus
