Job Summary:

Key Responsibilities:
  • Provide administrative support, including greeting visitors, scheduling appointments, and maintaining a professional reception area.
  • Answer incoming calls and relay messages to the relevant personnel.
  • Open, sort, and distribute incoming mail, and coordinate outgoing mail.
  • Schedule maintenance repairs for office equipment and coordinate travel arrangements for Executives and Corporate Personnel.
  • Create sales quotes in Microsoft Word for Sales Partners to provide to customers.
  • Maintain the break room and ensure it is stocked with necessary items.
  • Assist management with ordering food and beverages for meetings.
  • Ensure the reception area is neat and orderly.
  • Monitor and order office supplies as needed.
  • Support filing and check processing for the accounting department.
  • Exhibit polite and professional communication via phone and email.
  • Complete special projects as assigned by management.
  • Provide assistance to other employees as needed.
Requirements:
  • High school diploma or equivalent required.
  • Experience in AR Collections.
  • Five to seven years of receptionist and administrative experience.
  • Proficient in Microsoft Office 365 (specifically Word and Excel).
  • Excellent organizational, multi-tasking, and problem-solving skills.
  • Excellent customer service skills.
  • Professional attitude and appearance required.
  • Excellent written and verbal communication skills required.
Physical Demands:

This is a light work role, requiring exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently. Some filing is required, which involves lifting files, opening filing cabinets, lifting file boxes, bending, and/or standing on a stool as necessary.
