Administrative Supervisor Role Summary

As an Administrative Supervisor, you will play a critical role in supporting the Neurology Department's day-to-day operations, ensuring the efficient administration of medical office activities. This includes supervising assigned personnel, coordinating patient billing, registration, and scheduling, as well as managing electronic medical records (EMR) and budget.
Main Responsibilities:
Supervise assigned personnel, including performance evaluations, scheduling, orientation, and training.
Make recommendations on employee hire, transfers, promotions, salary changes, discipline, terminations, and other similar actions.
Coordinate department scheduling, including templates and provider schedules.
Manage cash responsibilities, including daily cash deposits.
Monitor work queues to ensure tasks are completed in a timely manner.
Resolve grievances and other personnel problems within position responsibilities.
Provide input based on observations related to counseling and disciplinary issues.
Implement corrective actions plans as required.
Provide effective direction, guidance, and leadership over the administrative staff for effective teamwork and motivation.
Foster the effective integration of efforts with clinic-wide initiatives.
Coordinate the assignment of tasks and help resolve technical and operational problems.
Evaluate the impact of solutions to ensure goals are achieved.
Participate in the development and recommendation of the operating and capital budgets for the areas managed.
Manage activities to ensure financial goals are met.
Monitor expenditures for compliance to approved budget.
Resolve discrepancies.
Plan, implement, and evaluate the assigned staffing needs on a daily basis to adequately support patient care.
Assign staff based upon patient needs, practice volume, staff qualifications, and department policy.
Process payroll for assigned staff following standard procedures.
Ensure time off and adjustments to time are accurately recorded in the payroll system.
Resolve discrepancies as required.
Ensure staff are trained and provided with updates on the EMR workflows as required.
Oversee the point of service collections and overdue balance processes.
Ensure standard process is followed.
Resolve discrepancies within position responsibilities.
Perform similar or related duties as required or directed.
Required Qualifications:
3+ years of healthcare experience.
Experience as a Senior Patient Service Specialist, Team Lead, Supervisor, or Manager.
Proficiency with Microsoft Excel, Word, Outlook, etc.
Preferred Qualifications:
Proven knowledge of Electronic Medical Records (EMR).
Proven knowledge of continuous improvement tools (e.g., standard work, 5S, root cause analysis, etc.).
