Administrative Operations Coordinator

Position Summary
Reporting to the Director of Operations, the Administrative Operations Coordinator plays a crucial role in supporting the strategic goals of Wilshire by executing various initiatives that enhance the organization’s effectiveness.
Key Responsibilities
- Collaborate in formulating effective strategies to boost brand recognition, expand the donor network, engage volunteers, and raise public awareness of Wilshire within the communities we serve.
- Create compelling and visually engaging communications, outreach materials, and fundraising documents that enhance the visibility of Wilshire and effectively communicate our mission, values, and services to new audiences.
- Evaluate the quality, performance, and impact of outreach and fundraising initiatives through regular reporting to ensure optimal results.
- Participate in all phases of the donation cycle, including donor communications and event planning.
- Assist with monthly financial closing, maintain financial records, support audits, and address daily financial requirements.
- Act as a secondary resource for technology equipment needs, coordinating orders through the Digital Asset Specialist and ensuring necessary approvals are obtained.
- Support management by providing reports and information as required and undertaking special projects as assigned.
- Exhibit strong problem-solving skills, sound judgment, excellent communication abilities, and maintain confidentiality with sensitive information.
Qualifications
- A minimum of two years of experience in executive support, project management, or a related field with transferable skills.
- Proficient in Microsoft Office Suite with intermediate Excel capabilities.
- Strong attention to detail and organizational skills are essential. Ability to initiate tasks independently and manage workload across various assignments.
- Ability to analyze complex concepts and communicate them clearly to diverse audiences.
- Experience with donor management systems or databases is preferred.
- Basic accounting knowledge is advantageous.
- Experience in healthcare, nonprofit communications, or media relations is preferred.
- A Bachelor’s Degree is preferred.
