Position Overview


POSITION SUMMARY
Under the general guidance of an assigned Director/Administrator, this role is responsible for implementing processes that impact district personnel at various levels. The position entails performing intricate, complex, and significant clerical duties that necessitate the interpretation of written and/or financial documents, the capability to independently compile data and information, and the ability to generate reports that require substantial independent judgment.

KEY RESPONSIBILITIES
Positions within the Facilities Administrative Assistant classification are characterized by the necessity for incumbents to undertake responsibilities related to Administrative Services and campus requirements, which involve direct interaction with employees and necessitate a thorough understanding of college organization, programs, regulations, and procedures. Candidates must demonstrate the ability to work autonomously while safeguarding confidential matters, records, and sensitive information. This role also includes training and supervising student and temporary assistants, as well as classified staff.

Incumbents will contribute to student learning outcomes and institutional effectiveness by acting as a primary contact and support for District Facilities, students, staff, and faculty.

ESSENTIAL FUNCTIONS
The essential functions of this position may include but are not limited to:
  • Assisting in the preparation of budget forecasts;
  • Advising the Director/Administrator on budget estimates and balances, and recommending areas for budget reallocations;
  • Organizing and overseeing daily office operations; scheduling, assigning, and monitoring project completion;
  • Coordinating appointments for the Director/Administrator;
  • Preparing for and managing monthly and yearly activities, including the development and duplication of forms and room reservations;
  • Arranging meetings and notifying participants;
  • Organizing information and data; composing and assembling reports for various agencies;
  • Utilizing computer applications for word processing, spreadsheets, and database management;
  • Recording and transcribing notes, distributing minutes and agenda items for departmental meetings;
  • Verifying and submitting time cards for hourly employees;
  • Managing department purchase orders and financial documentation;
  • Maintaining and updating various records and reports;
  • Researching vendors and maintaining petty cash accounts;
  • Ensuring compliance with permit renewals;
  • Participating in meetings and maintaining vehicle inventory;
  • Collaborating with district personnel as necessary;
  • Updating web content for Facilities Services;
  • Serving on committees as required;
  • Interpreting college policies for the public and staff;
  • Providing information on departmental policies and procedures;
  • Acting as a liaison between the Director/Administrator and others;
  • Addressing concerns from employees and the public effectively;
  • Performing other related duties as assigned.
QUALIFICATIONS
Education:
Preferred
  • Associate degree, including or supplemented by coursework in secretarial science, office management, and public relations.

Experience:
Required
  • Two years of experience equivalent to a Secretary II or III; or
  • Three years of progressively responsible clerical/secretarial experience.
Knowledge and Skills:
  • Record keeping and modern office practices;
  • Proficiency in English, including spelling, punctuation, and grammar;
  • Methods for composing correspondence and reports;
  • Understanding of college organization and policies;
  • Familiarity with current technologies and office software;
  • Ability to communicate effectively and maintain cooperative working relationships.
Licenses/Certificates:
Required
  • Possession of a valid California Driver's License.
