Job Summary:

As a Special Assistant to the Administrative Official, you will provide high-level administrative support to the department head, ensuring the smooth operation of the office. Your expertise will be instrumental in advising the official on administrative matters, participating in the formulation of programs and special projects, and compiling information for reports and analysis.

Key Responsibilities:
  • Advise the official on administrative matters, providing guidance on policies and procedures.
  • Participate in the development of programs and special projects, working closely with the department head and other stakeholders.
  • Compile information from records and reports to prepare special project reports and analysis.
  • Assist in the development of reporting systems, ensuring accurate and timely data collection and dissemination.
  • Maintain central control systems for department assignments, ensuring efficient and effective resource allocation.
  • Oversee the setup of committee meeting packets and distribution of information, ensuring seamless communication among stakeholders.
  • Provide referral services to individuals, public inquiries, and Cherokee Nation components, responding to inquiries and resolving issues.
  • Issue and interpret operating policies, ensuring compliance with departmental and organizational guidelines.
  • Review and respond to correspondence, ensuring timely and effective communication.
  • Assist in the preparation of budget needs and annual reports, working closely with the department head and other stakeholders.
  • Compile, store, and retrieve management data, ensuring accurate and timely information for decision-making.
  • Maintain records, files, and reports, ensuring compliance with departmental and organizational guidelines.
Supervisory Responsibilities:

Minimal supervisory responsibility, with a focus on leading and guiding team members to achieve departmental goals and objectives.

Qualifications:
  • Bachelor's degree from a 4-year college or university, or six years of related experience, or an equivalent combination of education and experience.
  • Additional one year of related experience is required.
  • Knowledge of database software, internet software, spreadsheet software, and word processing software.
  • Valid driver's license with a driving history verified through a motor vehicle report, meeting requirements for Cherokee Nation underwriting rating.
  • Ability to converse in the Cherokee language and read and write in the Cherokee syllabary (specific to Cherokee Language Teacher Education Program).
  • Employee must not be under sanction by the United States Department of Health and Human Services Office of the Inspector General (OIG) or the General Services Administration (GSA).
Physical Demands:

The employee is regularly required to talk or hear, frequently required to sit and use hands to finger, handle, or feel, and occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds.

Work Environment:

The noise level in the work environment is usually moderate.
