Position Overview:

The Administrative Coordinator for Chemistry Programs is a full-time role within the Chemistry Department, requiring on-site presence three days a week and remote work for two days. The compensation for this position is competitive, with an hourly rate ranging from $19.89 to $27.97, based on the candidate's qualifications and experience.

This role is pivotal in managing administrative operations, prioritizing tasks, and addressing various business matters related to educational, research, and operational functions. The coordinator will be responsible for creating and maintaining essential documents, spreadsheets, and databases, while also notifying supervisors of significant issues and upcoming events. The position demands a proactive approach to support faculty members and their research initiatives in a self-directed environment.

Key Responsibilities:

Documentation & Data Management
  • Independently manage correspondence and documentation.
  • Develop and maintain standard spreadsheets and databases.
  • Generate reports, statistics, and visual data representations from various sources.
  • Ensure accuracy and relevance of data formats and trends.
  • Assist in proofreading and submitting scholarly manuscripts.
Web Management
  • Oversee departmental websites and blogs.
  • Create and update web pages using content management systems.
Financial Oversight
  • Authorize expenditures and reimbursements in accordance with budgetary guidelines.
  • Maintain comprehensive financial records.
  • Prepare budget forms and verify accuracy of financial transactions.
  • Reconcile expenses and manage payroll actions.
  • Ensure compliance with grant and contract accounting.
Human Resources Support
  • Facilitate onboarding and orientation for new employees.
Event Coordination
  • Manage departmental calendars and travel arrangements.
  • Organize events, including timeline creation and agenda preparation.
  • Coordinate complex travel itineraries and manage event budgets.
  • Verify invoices and reconcile expenses against budgets.
Communication Management
  • Screen and prioritize incoming communications.
  • Provide responses to inquiries and interpret policies.
  • Research and resolve issues as needed.
Student Services Support
  • Offer administrative assistance for student services, including recruitment and admissions.
  • Review and recommend improvements to student service processes.
Additional Duties

Minimum Qualifications:
  • High school diploma or equivalent with four years of administrative support experience.
