Client Operations Specialist

Position Overview:
The EDI Customer Operations Specialist plays a crucial role in overseeing incoming and scheduled orders in relation to available inventory and production capabilities.
Key Responsibilities:
- Ensure precise and prompt handling of EDI 850 & 860 transactions within the Exenta system.
- Evaluate non-EDI customer orders and either manually input or import them into the ERP system.
- Facilitate effective communication across departments, particularly with Sales Support and Distribution Center teams.
- Address allocation issues in collaboration with the sales support team.
- Monitor all orders to guarantee timely dispatch of shipments.
- Prioritize warehouse operations as necessary.
- Assist internal stakeholders with order modification requests and EDI-related inquiries, including troubleshooting EDI discrepancies.
- Resolve order-related issues and aid in vendor chargeback investigations.
- Conduct daily assessments of reports detailing order challenges, including analysis of aged orders.
- Support various accounts through email and phone regarding order status, cancellation requests, and modifications.
- Handle requests from sales and DC teams concerning pick tickets generated by outsourced teams.
- Maintain Cross Reference databases.
- Generate Critical Item Reports to assess potential backorders.
- Review e-commerce orders from direct-to-consumer platforms.
- Keep consistent communication with the sales team regarding discrepancies, missing or incorrect order details, shortages, and restock dates.
- Update and manage all customer profiles, including addresses, shipping terms, and special instructions.
- Perform additional duties as required to support the company's operations.
Qualifications:
- A minimum of 3 years of professional experience in Order Management and EDI processing.
- Proficient in Microsoft Office, particularly in Excel with intermediate to advanced skills in data management (sorting, V-lookups, and Pivot Tables).
- Exceptional communication abilities, both verbal and written, along with strong analytical and problem-solving skills.
- Strong interpersonal skills and the capacity to thrive in a collaborative team environment.
- Excellent organizational skills with the ability to manage and prioritize multiple tasks efficiently, demonstrating keen attention to detail.
- Detail-oriented with the capability to perform well under pressure, ensuring high accuracy in all tasks.
- Experience in a fast-paced environment, applying effective work habits to complete assigned responsibilities and contribute to operational efficiency.
- Ability to work both independently and collaboratively, managing critical timelines and handling complex information.
