Position Overview:
The EDI Customer Service Representative plays a crucial role in overseeing incoming and scheduled orders in relation to available inventory and production capabilities.
Key Responsibilities:
- Execute precise and timely processing of EDI 850 & 860 transactions within the Exenta system.
- Assess non-EDI customer orders and manually input or import them into the ERP system.
- Facilitate high-level communication across departments, particularly with Sales Support and Distribution Center teams.
- Address allocation issues in collaboration with the sales support team.
- Ensure all orders are monitored for prompt outbound shipments.
- Prioritize warehouse tasks as necessary.
- Assist internal stakeholders with order revision requests and EDI-related inquiries, including resolving EDI discrepancies.
- Investigate and resolve order-related discrepancies and support vendor chargeback inquiries.
- Conduct daily reviews of reports detailing order issues, including analysis of aged orders.
- Provide assistance to various accounts regarding order status, cancellation requests, and revisions via email and phone.
- Respond to requests from sales and distribution teams concerning pick tickets generated by outsourced teams.
- Maintain Cross Reference databases and run Critical Item Reports to identify potential backorders.
- Review e-commerce orders from various direct-to-consumer platforms.
- Keep consistent communication with the sales team regarding discrepancies, missing or incorrect order details, shortages, and restock dates.
- Update and monitor all customer profiles, including addresses, shipping terms, and special instructions.
- Perform additional duties as assigned to support the organization's needs and operations.
Qualifications:
- A minimum of 3 years of experience in business, specifically in Order Management and EDI processing.
- Proficient in Microsoft Office, particularly with intermediate to advanced Excel skills, including data management techniques such as sorting, V-lookups, and Pivot Tables.
- Exceptional communication skills, both verbal and written, with strong analytical and problem-solving abilities.
- Strong interpersonal skills, demonstrating the ability to collaborate effectively within a team environment.
- Excellent organizational skills, showcasing the ability to manage and prioritize multiple tasks with attention to detail.
- Detail-oriented with the capacity to work efficiently under pressure, ensuring high accuracy.
- Experience in a fast-paced work environment, applying effective work habits to complete tasks and contribute to smooth operations.
- Able to work independently and collaboratively under tight deadlines while managing multiple assignments and sensitive information.
