Key Responsibilities This role presents a distinct opportunity to contribute to the Enforcement Division, which is dedicated to ensuring compliance with state and federal air quality regulations at stationary pollution sources. The selected candidate will provide essential clerical support to the operations of the Enforcement Division. This is a full-time position on the first shift, Monday through Friday, with potential for a hybrid work schedule that includes telecommuting. In this position, you will:
  • Manage incoming phone calls and emails from the public and internal stakeholders;
  • Address air quality complaints;
  • Utilize the Division's advanced cloud-based data and records management systems;
  • Provide administrative assistance to both field and office personnel;
  • Organize and maintain digital and physical files for various workgroups, including inspection reports and enforcement records;
  • Scan and archive both digital and paper documents in the appropriate databases;
  • Prepare and send outgoing correspondence, including letters and official filings;
  • Generate invoices as needed;
  • Handle incoming mail;
  • Coordinate requests for public records;
  • Engage with members of the public;
  • Take notes during meetings;
  • Schedule appointments;
  • Arrange travel logistics;

Qualifications

  • Two years of experience in office support or secretarial roles above the routine clerk level.
