We are seeking a highly organized and detail-oriented Project Assistant to join our team at IMC Construction. As a key member of our project team, you will be responsible for providing administrative support to our project managers, engineers, and other stakeholders.

Key Responsibilities
  • Correspondence Management: Compose, edit, and distribute letters, memos, reports, and other correspondence to ensure timely and accurate communication with project stakeholders.
  • Document Control: Log, maintain, and distribute drawings, specs, and other construction-related documents to ensure compliance with project requirements.
  • Ordering and Distribution: Order hard copy prints and materials for field staff as needed, and distribute them efficiently to ensure project progress.
  • Contract Management: Edit, proof, distribute, track, log, and file Letters of Intent, Subcontract Agreements, Purchase Orders, Change Orders, and other project-related documents.
  • Reporting and Invoicing: Assemble, edit, proof, distribute, track, and file CCDS, Owner Reports, and Invoices, among other project-related documents.
  • Meeting Minutes and Submittals: Edit, proof, distribute, and file all project-related meeting minutes, submittals, and RFI's as required for the project.
  • Closeout and Punch-List Process: Facilitate, manage, organize, and request the closeout and punch-list process with the assistance of project team members.
  • Administrative Support: Assist the receptionist with phone coverage as needed, process incoming mail, and perform other duties as necessary or assigned.
  • Prequalification and CCIP Verification: Assist the Preconstruction/Estimating Department with Prequalification & CCIP verification for both Enrolled and Excluded Subcontractors.
  • Project Documentation and Communication: Assist CM, PM, APM, and Superintendent with all documentation, communication, and organization of Construction project(s).
  • Owner and Design Team Support: Assist Owners, Design Team, and Subcontractors with project needs.
  • Multi-Tasking and Organization: Demonstrate the ability to multi-task, often switching between tasks as needed or requested by project team(s).
  • Education and Experience: College degree or 3-5 years of administrative assistant experience, with excellent interpersonal, communication, and organizational skills, and proficiency in Microsoft Word, Excel, and Outlook, with experience with project management-related software, such as Procore, a plus.
