Role Summary:

We are in search of a driven Billing and Collections Specialist with experience in MICA, DASH, and Xactimate to bolster our finance and accounting division. The selected candidate will be pivotal in ensuring precise billing, prompt collections, and fostering positive relationships with clients.

Core Responsibilities:

Billing Functions:

  • Generate and validate accurate invoices for restoration and construction initiatives utilizing MICA and DASH software.
  • Ensure the completeness and precision of project-related documentation prior to billing.
  • Collaborate with project managers and estimators to align billing with project milestones and Xactimate estimates.
  • Address client inquiries regarding invoices and billing discrepancies professionally and promptly.

Collections Duties:

  • Oversee accounts receivable to guarantee timely payment collection from clients.
  • Engage with clients via phone and email to follow up on overdue invoices and resolve payment challenges.
  • Work alongside clients and project managers to formulate payment plans or negotiate settlements as needed.
  • Maintain comprehensive records of all communications and collection activities.

Xactimate Proficiency:

  • Employ Xactimate to review project estimates, ensuring accurate billing based on the scope of work and materials utilized.
  • Collaborate closely with the estimating team to address any discrepancies or modifications in estimates.

Reporting and Record-Keeping:

  • Produce and sustain financial reports related to billing and collections performance.
  • Maintain accurate records of all billing and collection endeavors.

Client Engagement:

  • Foster a professional and positive rapport with clients throughout the billing and collections process.
  • Respond to client inquiries and concerns in a timely and courteous manner.

Qualifications:

  • Prior experience with MICA and DASH software is mandatory.
  • Proficiency in Xactimate is essential.
  • A minimum of 2 years of billing and collections experience, preferably within the restoration or construction field.
  • Strong attention to detail and accuracy in financial transactions.
  • Excellent communication and negotiation abilities.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Ability to work independently and collaboratively within a team.
  • Exceptional organizational and time-management skills.
  • Knowledge of accounting principles and practices is advantageous.
  • A high school diploma or equivalent; additional education in accounting or finance is preferred.
