A high level of professionalism is essential, along with the ability to work effectively with diverse families from various cultural, linguistic, and economic backgrounds.

The successful candidate will play a crucial role in enhancing the practice while maintaining the quality and integrity of our services. The responsibilities of the administrative assistant will include 4-8 hours per week dedicated to scheduling, conducting intake calls, and addressing inquiries from Spanish-speaking clients. This role will support the primary administrative assistant, who communicates only in English, in serving our Spanish-speaking clientele.

We provide culturally sensitive psychotherapy and evaluation services to families ranging from children to adults, offering a variety of diagnostic evaluations.

Key Responsibilities:

  • Commit to a minimum one-year tenure with our clinic.
  • Demonstrate strong communication skills in responding to phone calls, emails, and faxes promptly.
  • Manage scheduling for licensed psychologists and a post-doctoral student.
  • Oversee clinic calendars, patient intake calls, insurance verification, billing, and bookkeeping tasks.
  • Effectively communicate our clinic's assessment and treatment processes to families.
  • Navigate our electronic medical record and billing systems, as well as Google Workspace.
  • Organize client folders and ensure relevant documents are scanned into our EMR system.
  • Maintain a clean, organized, and HIPAA-compliant clinic environment.
  • Participate in staff engagement events.
  • Monitor the timely documentation and billing practices of clinicians.

Qualifications: A minimum of one year of experience as an administrative assistant in a related field is required. A bachelor's degree or higher is preferred. Fluency in Spanish is highly valued.

Compensation: Competitive pay based on experience, with a flexible schedule for 4-8 hours per week.
