Job Summary

We are seeking a highly skilled and organized Administrative Assistant to join our team at D-H Lebanon-MHMH. The successful candidate will provide administrative support to our Psychiatry Administration department, ensuring the smooth operation of our office.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the administrator, including composing and preparing correspondence, memos, and reports.
  • Scheduling and Calendar Management: Schedule and maintain calendars of appointments, meetings, and travel itineraries, and coordinate arrangements.
  • Correspondence and Communication: Screen and assess relative priorities of correspondence, inquiries, and projects, and organize systems of distribution and review to ensure proper flow through the office.
  • Document Preparation: Compose drafts of selected correspondence, special studies, and/or finish documents.
  • Office Procedures and Systems: Develop and maintain administrative office procedures and systems, including filing systems, scheduling, drafting, and document processing systems, and distribution/routing systems.
  • Special Studies and Research: Conduct special studies of an administrative nature, under general guidance or independently, to identify problems and issues within the department.
  • Resource and Information: Serve as a resource person who can direct persons and inquiries, and provide information.
  • Financial Management: Monitor departmental budget accounts and keep the administrator informed of expenditures.
Qualifications
  • Education: Associate degree in Secretarial Science or a related field, or the equivalent combination of education and experience.
  • Experience: One year of experience, with one year of which is supporting a managerial position, or the equivalent combination of education and experience.
  • Skills: Computer skills, ability to work independently, assess priorities, and organize workload, and excellent communication skills.
