SUMMARY

The Logistics Coordinator is tasked with delivering proactive and exceptional customer service to designated accounts. This role involves assisting with the scheduling of inbound and outbound shipments with the Customer's Carriers (including LTL and TL shipments), managing invoices, and addressing billing inquiries. The coordinator will respond to all inquiries and complaints related to work orders, invoices, shipments, and inventory counts. This position also plays a key role in implementing the Company's Quality, Safety, and Customer Standard Operating Procedures (SOPs). Coordination with vendors, sales staff, customer service representatives, billing representatives, warehouses, and shippers is essential.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintain regular communication with clients and agents.
  • Serve as a liaison between the warehouse and the customer for account and operational needs, resolving any discrepancies.
  • Develop and sustain productive relationships with clients, vendors, agents, and industry partners.
  • Oversee all aspects of assigned orders, including order entry, transportation scheduling, order communication, tracking order status, addressing cancellations, resolving issues, maintaining documentation, and providing proactive customer support.
  • Adhere to company SOPs and Quality Assurance processes for all customer and warehouse activities, including order specifications, shipping requirements, and communication protocols.
  • Support the onboarding process for new customers.
  • Maintain records of damages, backorders, and any necessary regulatory reporting.
  • Identify and propose process improvements.
  • Coordinate with corporate billing staff to ensure accurate and timely billing of all warehouse accounts.
  • Monitor Project KPIs and recommend training, work allocation, and problem resolution.
  • Prepare customer reporting for both internal and external stakeholders.
  • Participate in internal and/or external customer meetings.
  • Contribute to the development of departmental goals and objectives, recommending and implementing methods to enhance operations.

Education & Experience:

A minimum of a High School Diploma is required; a college degree or some college experience is highly preferred. At least 2 years of direct experience in a similar industry or completion of Logistics and Transportation courses through an accredited college is necessary.

Supervisory Responsibilities:

This position directly supervises a team of 5-15 individuals.

Knowledge, Skills, and Abilities:

Knowledge of inventory management procedures and general warehousing terminology is essential. Familiarity with warehouse and inventory management systems is required. Proficiency in MS Word programs (e.g., Excel, Outlook) and the ability to quickly learn warehouse and transportation systems are vital. Strong mathematical and financial accounting skills are necessary. Excellent interpersonal and communication skills are critical, along with the ability to manage communications across multiple parties using various software technologies. Candidates must demonstrate strong time management skills, prioritize deadlines, and proactively communicate with management regarding any necessary extensions. Strong teamwork and cooperation skills are essential, and the ability to work a flexible schedule is required.

The work environment is typically a cubicle setting with a moderate noise level. Some facilities may expose employees to a warehouse environment with typical loud noises and varying weather temperatures.
