Position Overview

The Office Coordinator plays a crucial role in providing administrative support while acting as the HR liaison and organizer for both in-person and virtual events at the University of South Carolina.

This position significantly contributes to the success of the department by undertaking various responsibilities assigned by supervisors, including managing office staffing during operational hours and overseeing updates to the website and social media related to academic and curriculum matters.

Minimum Qualifications: A Bachelor's degree or a high school diploma accompanied by four years of relevant work experience; or an equivalent combination of education and experience.

Preferred Qualifications: Proficiency in PeopleSoft Finance, PeopleSoft HCM, UofSC Finance Intranet, ITAMS, Blackboard, Adobe InDesign, Microsoft Word, Adobe Acrobat Reader, Microsoft Excel, and various online design tools. Strong organizational skills, attention to detail, and the ability to work effectively in electronic environments are essential.

Key Responsibilities:

  1. Event Coordination: Manage all aspects of in-person and virtual events, including creating and distributing promotional materials, scheduling, catering arrangements, and coordinating travel for guests.
  2. Office Management: Oversee the daily operations of the office suite, including staffing, supply ordering, and maintenance services. Provide reception duties and manage communications effectively.
  3. Website and Social Media Management: Collaborate with communications teams to update and maintain the department's online presence, ensuring accurate and timely content is posted.
  4. HR Support: Serve as the HR contact, initiating actions in the HR system, maintaining personnel records, and assisting with faculty and staff hiring processes.
  5. Record Keeping: Maintain organized records for budgeting, procurement, and program-related documentation.

This role requires flexibility, as attendance at various events may be necessary, including evenings and weekends. The Office Coordinator will also support the overall objectives of the College of Arts and Sciences by performing additional duties as assigned.
