Executive Administrative Coordinator, Merchant Operations and Finance

Position Overview:
Our client is seeking an Executive Administrative Coordinator to support the Merchant Operations and Finance division. In this role, you will be tasked with overseeing the CFO's schedule, organizing meetings, and facilitating invoice management and payments. The ideal candidate will demonstrate exceptional organizational abilities, meticulous attention to detail, and the capacity to juggle multiple responsibilities in a dynamic work environment. This position offers a hybrid work model.
- Compensation: $75-$80k plus paid overtime and bonuses
Key Responsibilities:
- Oversee and coordinate the calendars for the Merchant Operations & Finance team, scheduling meetings, appointments, and travel logistics.
- Manage meeting logistics, including the preparation of agendas and follow-up on action items.
- Assist in the preparation and processing of invoices, ensuring accuracy and adherence to company policies.
- Track payment schedules to ensure timely disbursements to vendors and service providers.
- Act as a liaison for internal and external stakeholders, addressing inquiries and providing necessary information.
- Prepare and distribute correspondence, reports, and presentations as directed by the CFO.
- Maintain organized filing systems, both digital and physical, for financial documents and records.
- Support various administrative functions, including data entry, expense reporting, and office supply management.
Qualifications:
- Bachelor's degree in Business Administration, Finance, or a related discipline is preferred.
- A minimum of 5 years of experience in an administrative support role, ideally within a finance or accounting setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with accounting software (e.g., SAP) is advantageous.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- High attention to detail and accuracy in all tasks.
- Ability to maintain confidentiality and manage sensitive information with care.
