Position Overview:
Our client is seeking to appoint an Executive Administrative Coordinator to support the Finance and Merchant Operations division. In this role, you will be tasked with overseeing the CFO's schedule, organizing meetings, and facilitating invoice management and payments. The ideal candidate will demonstrate exceptional organizational abilities, meticulous attention to detail, and the capacity to juggle multiple responsibilities in a dynamic setting. This is a hybrid position.
- Compensation: $75-$80k, inclusive of paid overtime and bonuses.
Key Responsibilities:
- Oversee and manage the calendars for the Finance and Merchant Operations team, coordinating meetings, appointments, and travel logistics.
- Organize meeting logistics, including the preparation of agendas and follow-up on action items.
- Assist in the preparation and processing of invoices, ensuring accuracy and adherence to company protocols.
- Track and monitor payment schedules to ensure timely disbursements to vendors and service providers.
- Act as a liaison for both internal and external stakeholders, addressing inquiries and providing necessary information.
- Prepare and disseminate correspondence, reports, and presentations as directed by the CFO.
- Maintain organized filing systems, both digital and physical, for financial documentation and records.
- Support various administrative functions, including data entry, expense reporting, and inventory management.
Required Qualifications:
- A Bachelor's degree in Business Administration, Finance, or a related discipline is preferred.
- A minimum of 5 years of experience in an administrative support role, ideally within a finance or accounting context.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with accounting software (e.g., SAP) is advantageous.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication abilities.
- Attention to detail and a commitment to accuracy in all tasks.
- Capability to maintain confidentiality and manage sensitive information with care.
