Job Summary

We are seeking an experienced Administrative Coordinator to join our team. The successful candidate will be responsible for providing administrative support to our operations team, ensuring the smooth day-to-day functioning of our office.

Key Responsibilities
  • Meeting Coordination: Assist in coordinating meetings, including calendar management, technology setup, and participant communication.
  • Document Management: Maintain and retain revisions of ISO divisional documents.
  • Record Management: Manage record document retention.
  • HR Support: Assist with document scanning, onboarding coordination, temporary labor management, employee recognition, and reimbursement programs, as well as Kronos updates.
  • Employee Support: Assist employees with making claims for benefit reimbursement.
  • Special Projects: Provide support on special projects, such as divisional communication, employee recognition, travel software setup and coordination, and data gathering.
  • Expense Reporting: Prepare expense accounts for approval and review with key leaders at the division level.
  • Reporting: Update weekly and monthly Key Performance Indicators (KPIs) in Excel and prepare reporting for monthly and quarterly meetings.
  • Reception Support: Provide backup support to the Communication Center and Reception Area, including answering the phone, maintaining proper coverage, and greeting visitors.
Requirements
  • High school diploma or equivalent required.
  • 2+ years of administrative experience in a fast-paced office environment.
  • Excellent communication and organizational skills.
  • Ability to work in a team environment and provide support as needed.
  • Proficiency in Microsoft Office, particularly Excel.
