Role Overview

The position of Range 3 signifies a role that encompasses management responsibilities and accountability for delivering professional support services. This role typically influences areas beyond the immediate work environment or professional discipline. It aims to foster collaboration among staff members or the school community to achieve specific goals, particularly in administrative, operational, or educational program contexts.

While guidance on objectives and targets is provided, the role allows for a certain degree of discretion in determining the methods to achieve these goals. However, this discretion is generally constrained by established procedures and school policies. Any deviation from these standards necessitates guidance from senior management.

At this level, business management responsibilities become integral. Managing staff to meet expected outcomes is a crucial aspect of the role. Staff management issues are typically resolved with minimal reference to senior management, although assistance will be sought in more complex situations. Senior management will receive timely reports and advice, primarily concerning the immediate work area, service delivery, or educational programs, with limited impact on overall school operations.

This role is the minimum requirement for positions that necessitate a mandatory qualification of no less than four years. Professional support roles, such as therapists and psychologists, are also characteristic of this level, where standard professional services are rendered. Professional guidance will be readily available, and any deviation from established procedures and policies will require direction from senior management.

An education support class position aids in the educational services provided to students but must not encompass teaching duties as defined by the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students is not a requirement unless it is a fundamental aspect of the employee's role or involves overseeing students individually or in small groups under controlled circumstances, where the responsibility for students remains clearly with a teacher.

Key Responsibilities

The responsibilities associated with this position include:

Delivering high-level administrative support to the Principal team. Managing the schedules and appointments of the Principals, including meeting preparations. Screening phone calls and addressing requests and inquiries as necessary. Utilizing College computer applications to assist the Principal team, including Microsoft Office, CASES21, Sharepoint, and Compass. Aiding in the preparation and coordination of internal professional development sessions, campus meetings, and all-staff meetings. Recording minutes of meetings as required. Assisting in organizing campus events. Developing and maintaining systems for effective electronic and paper record-keeping and archiving. Providing administrative support for student enrollment processes. Assisting in organizing Parent Opinion Surveys. Supporting the organization of School Photos for staff and students. Aiding in the organization of student immunization days. Coordinating catering for campus events and meetings. Obtaining quotes and processing online purchase orders for the Principal team. Promoting College events to staff, parents, and students. Ordering locks for students. Conducting school tours as necessary. Printing certificates for assemblies. Informing canteen staff of student free dates each term. Performing other duties as required.

Campus-Specific Responsibilities - Senior Campus

Assisting in the preparation and coordination of the Year 12 Success Information Evening, Later Years Expo, Presentation Evening, and Year 12 Formal. Managing bookings for the Doctors in Schools program. Coordinating the purchasing of student planners. Managing and promoting College events through school communication channels. Assisting with Compass Card orders. Supporting SRC Events. Preparing the After School Detentions Roster and the Briefing Roster.

Required Skills

Exceptional interpersonal communication and client service skills. Proficiency in communication and computer skills, including word processing and Microsoft Excel. Ability to organize and prioritize tasks effectively. Competence in extracting and manipulating data and preparing routine reports. Strong interpersonal and client service skills. Additional Information

This is a multi-campus college, and travel between campuses may be necessary. Responses to Selection Criteria should be submitted with your application. A probationary period of three months may apply. A valid Working With Children's Check is required.
