Reception Administrative Coordinator
We are seeking a dedicated administrative professional who is organized and enthusiastic, possessing excellent interpersonal skills. This role involves managing and supporting all front desk functions.
Key Responsibilities:
- Manage front desk operations including answering calls, welcoming guests, and handling deliveries.
- Assist the Office Manager and team members with travel arrangements, expense tracking, calendar organization, and various projects.
- Coordinate and facilitate internal meetings and events.
- Maintain a welcoming reception area for visitors.
- Support meeting logistics, including catering arrangements.
- Assist with invoice processing and reconciliation.
- Enhance office efficiency through effective communication and interaction with vendors and clients.
- Coordinate catering services for internal gatherings.
Working hours are from 8:30 AM to 5:00 PM, Monday through Friday.
Qualifications:
- High school diploma is required; further education or an Associate's/Bachelor's degree is preferred.
- Previous experience in a front desk administrative role within a professional services setting is advantageous.
- Customer service experience is preferred.
- Proficiency in MS Office Suite (Word, PowerPoint, Excel, and Outlook) is essential; familiarity with SAP and Concur is a plus.
- Strong verbal and written communication skills are necessary.
- Professional demeanor with the ability to exercise sound judgment and discretion.
- Attention to detail, reliability, and punctuality are crucial.
- Able to thrive in a fast-paced and demanding environment.
- Exceptional multitasking abilities are required.
- Self-motivated individual capable of managing diverse tasks and meeting deadlines.
Fluency in English is required; proficiency in an additional European or Asian language is desirable.
