Position Overview:

We are seeking a dedicated Executive Recruitment Coordinator to enhance and streamline the candidate journey in collaboration with our executive recruiting team. This role is pivotal in delivering a premium candidate experience for all applicants and stakeholders involved. Key responsibilities include managing interview logistics, refining executive recruiting processes, and actively supporting the executive recruiting team's objectives. This position reports directly to the Director of Executive Recruiting.

Work Arrangement:

3 days onsite in Chicago and 2 days remote

Key Responsibilities:

  • Facilitates the interview scheduling logistics for assigned roles, ensuring efficient service delivery and an exceptional candidate experience.
  • Coordinates all aspects of candidate interview logistics, including sending meeting invitations, reserving rooms, and organizing video conferencing details.
  • Prepares and distributes a professional interview agenda to all involved parties.
  • Maintains an organized hiring workflow by updating candidate statuses in the applicant tracking system.
  • Ensures consistent communication with the Executive Recruiter assigned to each candidate.
  • Builds and nurtures strong relationships with the Executive Recruiter and hiring teams.
  • Handles inquiries and scheduling requests while maintaining open communication with the Executive Recruiter.
  • Provides administrative support to the talent acquisition team, including process improvement initiatives and other ad-hoc tasks.
  • Performs additional duties as assigned or requested.

Qualifications:

  • Minimum of 3 years of experience as a recruiting coordinator.
  • Proven track record in optimizing recruiting and interview scheduling processes.
  • Familiarity with applicant tracking systems and interview scheduling tools, such as Workday ATS, is preferred.
  • Highly organized, autonomous, and detail-oriented with exceptional written and verbal communication skills.
  • Ability to prioritize effectively, multitask, and contribute to all facets of the recruiting process.
  • Independent, creative, and committed to delivering a high-touch, five-star service experience.
  • Composed under pressure with a positive, proactive attitude.
