Executive Support Specialist

Job Summary: Fourth Floor is seeking a highly skilled and organized Executive Support Specialist to join our team in a contracted role. As an Executive Support Specialist, you will provide administrative support to our senior leadership team, ensuring seamless day-to-day operations and strategic initiatives.
Key Responsibilities:
- Calendar Management: Maintain and manage calendars in Outlook, including coordination of executive travel arrangements and itineraries.
- Correspondence and Communication: Prepare correspondence internally and externally as directed by senior leadership, with high-level contacts inside and outside the company.
- Meeting Coordination: Coordinate onsite and offsite vendor meetings, office work orders, and facilities management.
- Project Support: Organize, prioritize, and summarize the content of incoming materials, specialized projects, special requests, and meetings.
- Reporting and Analysis: Prepare special or one-time reports, replies to inquiries, and create, maintain, and update spreadsheets to support reporting and analysis for senior leader approval.
- Team Events: Coordinate team events and cultural venues with Office Coordinator as directed by senior leadership.
- Travel and Expense Management: Manage monthly travel and expense reports for senior leadership.
Requirements:
- Calm Under Pressure: Ability to remain calm under pressure and think quickly on your feet.
- Technical Skills: Strong working knowledge of Word, PowerPoint, Excel, and Outlook.
- Communication Skills: Excellent written and verbal communication skills.
- Flexibility: Flexible schedule and willingness to work on-call.
- Self-Motivation: Self-motivated, organized, and proactive.
- Attention to Detail: Strong attention to detail.
- Experience: 5-7 years of Executive Assistant Support Experience.
- Team Player: Ability to work in a team environment.
- Authorization: Must be legally authorized to work in the United States.
