The Office Administrator will play a crucial role in providing essential administrative assistance to ensure the smooth functioning of the office. This position will aid managers and staff through various tasks related to organization and effective communication.

Key Responsibilities:

  • Perform general data entry within the ERP system.
  • Manage customer and distributor inquiries regarding pricing, purchase orders, order modifications, and cancellations.
  • Maintain the training and support schedule.
  • Order and replenish office supplies, beverages, and snacks on a daily basis.
  • Foster positive relationships with customers to guarantee outstanding service.
    • Assemble promotional materials.
    • Greet visitors.
    • Ensure cleanliness and organization of office and conference areas.
  • Provide customers with pricing, delivery, and order-related information.
  • Handle a significant volume of incoming and outgoing calls to confirm details for order processing.
  • Utilize the computer database (WMS) to access necessary customer, inventory, and purchase order information.
  • Prepare purchase orders and invoices for vendors and the accounting team.
  • Maintain records of active orders and update customer accounts or orders as needed.
  • Coordinate facilities maintenance requests as necessary.
  • Perform additional related duties as assigned.

Qualifications:

  • A minimum of one year of experience in customer service or order processing is essential.
  • Experience in data entry is advantageous.
  • Proficiency in MS Office is required, with a willingness to learn database and ordering systems. Familiarity with Salesforce and/or Spectrum is preferred.
