Job Title: Office ManagerJob Summary

As an Office Manager at CER-MET INC, you will be responsible for overseeing and performing various administrative tasks to ensure the smooth operation of the office. This role requires strong organizational skills, excellent communication abilities, and the ability to implement systems and procedures.

Key Responsibilities
  • Oversee payroll preparation, including obtaining employee documents, data entry, and accuracy checks.
  • Review and process vendor invoices, ensuring accuracy and correct general ledger codes.
  • Produce and distribute customer invoices for work performed, obtaining required back-up documentation.
  • Organize and maintain filing systems, including invoices, checks, payroll documents, and employee rosters.
  • Assist in procurement of materials, supplies, and equipment, and calculate project costs and feasibility.
  • Prepare customer project proposals, defining scope of work, price, and general terms.
  • Track assigned projects using analytical tools and recommend corrective action plans as needed.
  • Prepare outstanding accounts receivable and resolve disputes and delinquencies.
Additional Responsibilities
  • Demonstrate effective teamwork and cooperation with employees and customers.
  • Assist clerical staff with answering phone calls and field radios, and respond to general inquiries.
  • Comply with and review annual physical inventory and other documentation required for the corporate financial audit.
  • Calculate cost-plus billing rates and submit them to managers for review.
  • Maintain and distribute petty cash.
Requirements
  • 2 years of experience as an Office Manager or similar position preferred.
  • 5+ years of experience with Sage Accounting Software.
  • High school diploma/GED required, some college preferred.
  • Understanding of office equipment, systems, and procedures.
  • Skilled in Microsoft Office, Excel, and Outlook.
  • Excellent time management skills and ability to prioritize multiple tasks.
  • Strong problem-solving skills and attention to detail.
  • Excellent verbal and written communication skills.
