Job Overview

General Office Responsibilities:

  • Welcoming and assisting visitors and staff both in-person and via telephone.
  • Overseeing the postage machine, ensuring adequate postage is available, and managing certified mail documentation.

  • Collecting and dispatching mail from the post office as required.

  • Managing office supply inventory and placing orders as necessary, including coordinating with the GSO office for branded materials.
  • Arranging catering for various functions, including monthly staff meetings and internal events, as well as managing setup and cleanup.
  • Supporting the HR department with the distribution and scheduling of seasonal perks.
  • Assisting the primary contact for property management with maintenance requests.
  • Contributing to special projects as assigned.
  • Carrying out routine administrative tasks efficiently.

Tax Administration Responsibilities:

  • Compiling, processing, and ensuring the timely submission of all tax-related tasks.
  • Scanning documents into the appropriate digital locations.
  • Gaining proficiency in the necessary software and procedures to perform assigned duties.
  • Providing assistance with various requests from staff across all office locations.
  • Collaborating effectively as a team member with all office locations.

Qualifications:

  • High School Diploma or equivalent.
  • 1-3 years of experience in administrative support, ideally within an accounting environment.
  • Proficient in Microsoft Outlook, Word, and Excel.
  • Strong client service and interpersonal skills.
  • Exceptional attention to detail.
  • Excellent organizational and communication abilities.
  • Capability to manage multiple tasks in a fast-paced, seasonal environment.

Physical Requirements:

  • Fine motor skills for keyboarding for 5-7 hours daily.
  • Ability to stand for extended periods.
  • Occasional lifting of items up to 20 lbs.
  • Valid driver's license.
  • Ability to use personal vehicle for occasional errands.
