Job Overview

The Financial Operations Associate I is responsible for executing financial transactions, including vendor payments, employee reimbursements, and travel-related expenses, while adhering to state regulations and institutional policies.

Key Responsibilities

• Evaluates financial transactions to ensure adequate supporting documentation is provided. If documentation is insufficient, liaises with departments to secure necessary information for justifying expenditures.

• Engages with university departments and vendors to address and resolve discrepancies;

• Acquires IRS Taxpayer Identification Number and Certification (W-9) when required prior to processing payments.

• Inputs data into the university's financial management system.

• Manages workload effectively to meet state prompt payment standards.

• Offers support for related roles as needed.

• Performs additional tasks to contribute to the overall success of the department.

Required Skills


• Understanding of financial practices.

• Proficient in Microsoft Office Suite, particularly Word and Excel.

• Capable of performing basic business calculations and accurately processing financial documents.

• Strong interpersonal and communication abilities, with a focus on delivering customer service in a professional manner and collaborating effectively with diverse teams.

• Commitment to maintaining confidentiality regarding processed transactions.

• Excellent analytical and problem-solving skills, with the ability to gather and interpret information to resolve issues promptly.

Preferred Skills


• Experience as a fiscal or administrative assistant in a fast-paced business setting.

• Background in data entry.

• Familiarity with interpreting and applying organizational policies and procedures.

• Knowledge of accounting principles.

• Experience with Enterprise Resource Planning (ERP) financial systems.

• Proficiency in using electronic procurement systems.

• Experience with automated workflow and imaging technologies.
