Directly assist the Chief and Executive Assistant in making the police department as administratively productive as possible while assuring a smoothly operating and highly reliable environment. Duties and Tasks: Drafts documents, prepares reports and creates spreadsheets. Assist in managing police records, to include filing, according to the Library of Virginia and college policies and procedures. Assist in the department recruitment by scheduling interviews for applicants, arranging for parking passes, scheduling medical and psychological exams for applicants. Anticipates needs and proactively assists in solving problems and handling issues. Other duties as assigned. Special Assignments: May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor. Minimum Qualifications: Required KSAs: Current administrative principles and practices. High level organizational skills and ability to be proactive in completing assignments on time. Strong organizational, planning, and time management skills – ability to meet deadlines. Ability to work independently with attention to detail. Ability to perform duties with a high level of professionalism, discretion, and judgment. Ability to handle sensitive issues and maintain confidentiality. Knowledge of MS Office Suite to include spreadsheet development. Excellent verbal and written communication skills. Ability to compose/respond to correspondence. Ability to pass the Criminal Justice Information Services (CJIS) certification. Oral, written, and interpersonal communications skills. Writing, editing, and proof-reading skills. Ability to pass background investigation. Minimum Qualifications: Administrative experience in an office setting. Experience reviewing budget information. Experience preparing reports by collecting and analyzing data/information in both hard copy and electronic forms. Customer service experience. Must be able to pass a fingerprint-based criminal background check. Preferred Qualifications: Experience in a higher education level environment.
