The ideal candidate will be organized, fluid, and adaptable. Responsibilities Act as gatekeeper; screen incoming calls in a timely and professional manner and route accordingly. Provide sophisticated calendar management for SVP / Managing Director. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Prepare correspondence for executives and route accordingly. Research industry-related items for presentations and proposals as needed. Manage heavy email activity, calendar appointments, and meetings. Coordinate and manage executives’ travel schedule. Assist with execution of projects or specific stages of projects as assigned; track progress and results when necessary. Arrange and handle all logistics for meetings: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; record meeting minutes and Circulate post-meeting notes Complete a broad variety of administrative tasks that facilitate the SVP’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports Coordinate internal and external scheduling and rescheduling of meetings Send out, obtain signatures and return executed copies of Non-disclosure agreements and keep records Maintain and regularly update informational databases including but not limited to industry contact sheets, venue lists, preferred vendor lists etc Support FOCUS. team sourcing last minute event needs Manage all aspects of IMG FOCUS.’s office operations. Manage information systems operations including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning. Replenish office materials and event production kits, such as snacks, printer supplies, paper, office supplies, etc. Provide event management support as requested. Provide hospitality to all guests and help to create a welcoming environment. Manage business credit reconciliation. Prepare expense reports. Additional ad-hoc projects/duties as assigned for the overall benefit of the organization. Qualifications Minimum 1-3 years’ experience assisting a senior level executive. High proficiency with MS Office (Word, Excel, PowerPoint and Outlook). Ability to work with all levels of management. Exceptional grammar and proofreading skills required. Ability to handle multiple assignments and deadlines with accuracy. Detail-oriented and proactive. Exceptional interpersonal skills. Strong written and oral communication skills. Professional demeanor.
