Position Overview:

The Executive Assistant Level 2 plays a crucial role in supporting high-level executives within Compunnel. This position requires a high degree of professionalism, discretion, and the ability to manage sensitive information effectively.

Key Responsibilities:

  • Confidential Communication: Demonstrate tact and sound judgment when handling confidential matters and nonpublic information.
  • Telephone Management: Provide comprehensive telephone coverage, ensuring accurate message-taking and maintaining awareness of team members' availability.
  • Client Interaction: Engage with clients and their assistants, acting as a liaison to facilitate communication and relationship-building.
  • Calendar Management: Oversee the scheduling of meetings and conference calls, adeptly managing conflicts and prioritizing requests.
  • Office Coordination: Manage office supplies, technology orders, and maintenance to ensure a well-functioning work environment.
  • Onboarding Support: Coordinate employee onboarding processes, including the setup of necessary equipment and access.
  • Travel Arrangements: Organize travel logistics, including flights, accommodations, and transportation, while maintaining up-to-date travel profiles.
  • Expense Management: Prepare itineraries and submit expense reports promptly, addressing any discrepancies as needed.
  • Event Coordination: Assist in the preparation of proposals and vendor management for events and conferences.
  • Documentation: Prepare correspondence, presentations, and meeting materials, ensuring all documentation is organized and accessible.
  • Resource Navigation: Interface with various departments to gather information and respond to requests efficiently.
  • Miscellaneous Support: Maintain an orderly work area and assist with various administrative tasks as required.

  • Proficient in Microsoft Office, particularly Outlook, with knowledge of Excel and PowerPoint being advantageous.
  • Commitment to staying updated on office procedures and compliance requirements.

Education: Bachelor's Degree is required.
