As a Senior Administrative Support Specialist, you will provide essential support to our executive leadership team in the Excess & Surplus/Specialty Programs sector. Your role will encompass a diverse range of confidential and intricate administrative tasks.

Key Responsibilities:

  • Oversee the calendars of executive leadership, ensuring that urgent matters are prioritized.
  • Make informed travel arrangements and decisions that align with the preferences of your leaders.
  • Gather and organize complex data for reports and presentations, including the creation of PowerPoint slides.
  • Filter communications to identify action items and deadlines, bringing critical issues to the attention of leadership.
  • Process expense reports and assist in budget forecasting and planning.
  • Maintain up-to-date knowledge of procedural changes, HR policies, and the business landscape that may affect departmental strategies.
  • Lead special projects as assigned, contributing to the development and implementation of new processes.
  • Foster collaborative relationships with vendors and partners to support organizational objectives.

Compensation Grade: E2

Typical Skills and Experiences:

  • Education: High school diploma or equivalent; vocational training in secretarial science is advantageous.
  • Certifications: Administrative professional certifications such as Certified Administrative Professional (CAP) or Certified World Class Assistant (CWCA) are beneficial.
  • Experience: A minimum of eight years of relevant administrative experience, including at least four years in an executive support capacity.

Knowledge, Abilities, and Skills:

  • Familiarity with company policies and organizational structure.
  • Proficient understanding of office practices and procedures.
  • Strong decision-making abilities to evaluate and implement effective solutions.
  • Excellent communication skills for interaction with all levels of staff and external contacts.
  • Ability to proofread for accuracy in content and format.
