Senior Executive Assistant

Inclusively is collaborating with a life insurance organization to recruit a Senior Executive Assistant. Please note that this position is not an internal role with Inclusively but with the partner organization.

Key Responsibilities:
- Efficiently manage and maintain executive business calendars.
- Provide comprehensive administrative support for executives and their teams in a timely and professional manner.
- Coordinate and schedule meetings, manage travel arrangements, and organize conference/video calls, often involving multiple locations.
- Oversee logistics for all meetings, including IT setup, room arrangements, and catering as necessary.
- Utilize Microsoft Office Suite to assist with presentations and reporting tasks.
- Manage incoming calls, assist callers, take messages, and route them appropriately.
- Support the daily operations of the teams.
- Prepare and reconcile travel and other expenses.
- Assist with written communications and documentation.
- Coordinate team meetings effectively.
- Organize existing files and create new filing systems as required.
- Review and process invoices and expense reports promptly and accurately.
- Order and maintain office supplies and perform other administrative duties as needed.
- Build and maintain strong relationships with other Executive Assistants, providing backup support when necessary.
- Process and reconcile procurement card monthly statements.
- Assist with project management and follow-up tasks.
Qualifications:
- Exceptional organizational skills and meticulous attention to detail.
- Strong interpersonal skills and a high level of professionalism.
- Excellent written and verbal communication abilities.
- Capability to prioritize tasks and manage multiple responsibilities.
- Possess a sense of urgency in task execution.
- Prior experience in task management is essential.
- Ability to maintain confidentiality, exercise good judgment, and demonstrate diplomacy.
- Proficient in Microsoft Office, including Word, PowerPoint, and Excel, with the ability to create professional communications and reports.
- A Bachelor’s degree is preferred.
- A minimum of 8 years of experience supporting senior-level executives in a corporate environment.
Compensation:
Salary range: $72,500 - $107,500
Overtime eligible: Nonexempt
Discretionary bonus eligible: Yes
Sales bonus eligible: No
