Job Summary and Qualifications

Administrative Assistant to Director of Engineering and Facilities Management. Supports the Director of Plant Operations and Security, the Assistant Director of Facilities, and department staff.

SPECIFIC ELEMENTS & ESSENTIAL FUNCTIONS:

Assists Vice President of Engineering and Facilities Management. Manages VPs business calendar, coordinates meetings.

Maintains annual memberships and subscriptions for VP, Director, and Assistant Director.

Coordinates and registers off-site seminars and training for VP, Director, Assistant Director, and department.

Receives, prioritizes, and addresses incoming telephone calls for VP, as well as entire department; welcomes visitors.

Interacts with administration office, senior management, corporate executives, state and local officials, hospital personnel, architects, consultants, contractors, vendors.

Serves as secretary for and participates in VPs weekly Direct Reports meetings.

Serves as secretary for the Environment of Care Safety Committee. (Transcribes and distributes meeting minutes, agendas, and handouts in a timely manner, as appropriate.)

Ensures hospital Safety records are kept current per The Joint Commission.

Ensures Environmental of Care metrics is maintained and current on a monthly basis. Follows up with subcommittee chairpersons to update information.

Manages, maintains, and follows-up on time-sensitive Hazardous Materials and Waste manifests on a monthly basis, and ensures that they are 100 accurate for NHDES.

Maintains hospital Project Tracking and Contract Tracking information for VP, Director, and CFO.

Publishes Annual EC Report for the Board of Trustees.

Prepares written correspondence to internal and external entities. Correspondence is clear and concise.

Manages office. Receives and processes correspondence; prepares and processes a high volume of department invoices on Lawson A/P Workflow System; uses OnBase system to track invoice status; places orders for general office supplies, as well as specific maintenance orders for facilities technicians; reconciles and processes monthly AMEX statement for orders placed; maintains department filing system; assists with radio transmissions to and from facilities technicians.

Serves as HealthStream Associate Administrator for department; attends meetings conducted by Administrator; prepares student groups and assigns mandatory RCRA training course modules to hospital-wide staff members, monitors course due dates, and maintains department educational records.

Serves as administrator for Vendor Clear System for E&FM Department.

Serves as super-user for department SharePoint IntraNet Portal for hospital-wide use. Enters new or revised EOC policies and procedures into system and archives obsolete information. Maintains portal for department-specific use and record-keeping information.

Assists in presentation development.

Provides timely and professional communications (email, telephone, voice) to ensure department counterparts are fully integrated into our communication flow.

Ensures all new contractors view our Safety Indoctrination video.

Possesses and functions with a high degree of independent judgment, confidentiality, and interpersonal skills.

Promotes a positive image of the Engineering and Facilities Management Department and the hospital.

Possesses a high degree of secretarial and organizational skills that enhances the operation and effectiveness of the department; demonstrates skill in problem-solving with minimal direction; applies discretion in determining priority and timing.

Demonstrates flexibility and ability to function independently with minimum supervision.

Maintains record retention system per corporate guidelines and ensures compliance.

Acts as information source on departmental policies and procedures.

Assists in establishing department policies and procedures and coordinates special projects or departmental activities.

Demonstrates ability to monitor and relay important information in appropriate manner.

Demonstrates tact, courtesy, and a friendly telephone manner.
