Administrative Coordinator

Core strengths: Written communication, attention to detail, multi-tasking, excellent interpersonal skills

 

  • Assist the Director of Operations, Director of Preconstruction, and Safety Director with daily job functions and initiatives
  • Coordinate and collaborate with our internal Safety Committee and manage and implement safety procedures as agreed upon by our Regional and Corporate committees
  • Scheduling: Facilitate the scheduling, tracking and coordination of meetings and appointments
  • Documentation: Create meeting agendas, take minutes, and facilitate applicable follow-up to ensure tasks are carried out
  • Permitting: Assist in any permitting needs and coordination, and have knowledge of the innerworkings of each entity or how to find the information
  • Planning: Contribute to organizational planning, help management to be effective in their roles
  • Records management: Prepare instructional materials, maintain training records, complete, and submit required reports
  • Greet clients and visitors to make them feel welcome and comfortable
  • Vendor communication: Serve as point of contact between vendors and participants
  • Talent Acquisition and Development: Serve as main point of contact, assist in, and participate in seeking out career fairs and community events, scheduling interviews, manage and coordinate registration for professional development for the team
  • Make sure equipment and resources are in good working order by completing preventive maintenance requirements, and ensure conference rooms and other meeting spaces are prepared prior to use


Required Skills
