Executive Assistant

Responsibilities:
- Manage multiple complex calendars including travel arrangements, scheduling, and adjusting appointments in an ever-changing environment, sometimes with multiple time zones and last minutes changes. Ensuring advanced preparation and accurate timing.
- Support Senior Management team by assisting with scheduling meetings and events and facilitating the coordination of organizational announcements.
- Obtain, track, and provide receipts for business purchases as well as submit monthly expense reports to AP for reimbursement.
- Plan, communicate, and participate in employee events, including the set-up, break-down and running of an event.
- Manage a variety of special projects for team. Aid in execution of projects, serve as a project coordinator, provide deadlines, reminders, deliverables, etc.
- Work in a collaborative environment with other team members, supporting and assisting each other in tasks.
- Handle confidential information with a high level of ethics and integrity.
- Order lunches as needed, including picking up orders and delivering to appropriate departments.
- Ensure cleanliness of break rooms and lunch areas.
- Prepare conference rooms for in-person and/or virtual meetings.
- Act as a liaison for key team members who are not in the office daily.
- Handle incoming mail by opening, scanning, and distributing it to the appropriate party.
- Proofread copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Maintains office and other supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
- Welcomes guests and customers by greeting them, in person or on the telephone, answering or directing inquiries.
- Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Other duties as assigned.
- Associates degree or higher
- 3+ years of experience of supporting C-Suite/senior level executives.
- Must be highly proficient in all Microsoft Office, Word, PowerPoint, and Excel skills with the ability to quickly grasp software/websites/systems we use.
- In office work required M-TH.
- Must be able to handle confidential and sensitive information and have a high level of ethics and integrity.
- Must have excellent verbal and written communication skills including proofreading and editing skills.
- Must have excellent organizational skills, extreme attention to detail and strong follow-up skills.
- Exceptional interpersonal skills with a friendly and professional demeanor.
- Must be comfortable with multi-tasking and working with minimal supervision and obtain clarity when faced with ambiguity.
- The ability to prioritize a variety of projects and assigned tasks across the board and multitask to meet delivery deadlines.
- Willingness/ability to work late hours when faced with tight deadlines.
- Bachelor’s degree or higher in a relevant business-related degree.
- Experience working in the FinTech, consumer lending, financial services industry.
- Advance skills in MS Office including PowerPoint and Excel.
- A “two steps ahead” thinker that can anticipate needs.
