Job Description:

We are seeking a dynamic and organized Administrative Assistant to join our team at Polous Beauty Clinic. The ideal candidate will be a multitasking wizard with excellent communication skills and a strong attention to detail. As the Administrative Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our clinic by providing administrative support to our team and delivering exceptional service to our clients.

Responsibilities:

  1. Greet clients and visitors in a warm and professional manner, providing assistance and answering inquiries as needed.
  2. Maintain organized and up-to-date client records, including contact information, treatment history, and preferences.
  3. Handle incoming calls, emails, and correspondence promptly and professionally, directing inquiries to the appropriate staff members.
  4. Assist with administrative tasks such as filing, data entry, and inventory management to ensure smooth clinic operations.
  5. Coordinate with suppliers and vendors to procure necessary supplies and materials for the clinic.
  6. Uphold the clinic's standards of cleanliness and presentation by monitoring and maintaining the reception area and treatment rooms.
  7. Assist in promoting clinic services and special promotions to clients through effective communication and marketing materials.
  8. Adhere to company policies and procedures, including confidentiality and compliance with regulatory requirements.

Requirements:

  1. Excellent organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
  2. Strong interpersonal and communication skills, with a friendly and professional demeanor.
  3. Proficiency in computer skills, including MS Office and scheduling software.
  4. Ability to work independently with minimal supervision and as part of a team.
  5. Attention to detail and accuracy in handling administrative tasks.
  6. Flexibility to work evenings and weekends as required.
