Job Title: Aviation Administrative Assistant (IMMEDIATE HIRE)

Job Summary: We are seeking a reliable and highly organized administrative assistant to join our team. The ideal candidate will be proficient in administrative tasks, possess excellent communication skills, and be able to handle multiple tasks simultaneously. The administrative assistant will provide administrative support to ensure efficient operation of the Program Management Construction Manager (PMCM) team.

Responsibilities:

  1. Organize and schedule appointments and meetings.
  2. Produce and distribute correspondence, memos, letters, faxes, and forms, etc.
  3. Assist in the preparation of regularly scheduled reports and documents.
  4. Manage Terminal Development Program PMCM Onboarding Forms and Documents.
  5. Lunch and Learn Coordination
  6. Maintain contact lists and directories.
  7. Provide general support to Program Management Construction Management Team.
  8. Act as the point of contact for internal and external clients.
  9. Act as receptionist in assigned work area to screen visitors; may act as relief receptionist in other work areas.
  10.  Other duties as assigned including but not limited to coordinating with team regarding meetings, scheduling, travel, etc.

Requirements:

  1. Two (2) years of proven administrative experience as an administrative assistant or relevant role.
  2. Proficiency in MS Office (Word, Excel, Outlook, PowerPoint, TEAMS).
  3. Excellent time management skills and the ability to prioritize tasks.
  4. Attention to detail and problem-solving skills.
  5. Excellent written and verbal communication skills.
  6. Strong organizational and planning skills.
  7. High school diploma; additional qualification as an administrative assistant or secretary will be a plus.
