Administrative Assistant- Data Entry

JR RAMON is a full service demolition company that has been operating throughout Central and South Texas since 1945. We are currently seeking a qualified and motivated Data Entry Clerk to join our expanding team. The optimal candidate is one who demonstrates a strong work ethic, has ambition, takes initiative, and possesses the genuine desire to grow within the company.

Responsibilities:

  1. Data Entry:

    • Accurately enter financial data into accounting software or spreadsheets.
    • Input transactions such as invoices, receipts, expenses, and journal entries into the accounting system.

  2. Verification and Review:

    • Review data for accuracy and completeness before entry.
    • Verify numerical data by cross-referencing with supporting documents.
    • Ensure compliance with accounting standards and company policies.

  3. Maintaining Records:

    • Organize and maintain financial records and documentation.
    • File and archive documents in accordance with record-keeping procedures.
    • Ensure confidentiality and security of financial information.

  4. Reconciliation:

    • Reconcile bank statements, credit card statements, and accounts receivable/payable records.
    • Investigate and resolve discrepancies or errors in financial data.

  5. Assisting with Financial Reporting:

    • Assist in preparing financial reports such as balance sheets, income statements, and cash flow statements.
    • Compile data and generate reports for management or regulatory purposes.

  6. Communication:

    • Communicate with colleagues, clients, or vendors to obtain necessary information for data entry.
    • Respond to inquiries and requests for information in a timely and professional manner.

  7. Adherence to Deadlines:

    • Meet deadlines for data entry tasks, financial reporting, and other accounting-related activities.
    • Prioritize tasks to ensure timely completion and accuracy.

  8. Continuous Improvement:

    • Identify opportunities for process improvements or efficiency gains in data entry procedures.
    • Provide feedback and suggestions for enhancing data entry systems or software.

  9. Compliance and Regulation:

    • Stay updated on accounting regulations, standards, and best practices.
    • Ensure compliance with tax laws, financial reporting requirements, and internal controls.

  10. Team Collaboration:

    • Collaborate with accounting and finance team members to support departmental goals and objectives.
    • Assist with other accounting tasks or projects as needed.

  11. Training and Development:

    • Participate in training programs to enhance data entry skills and knowledge of accounting principles.
    • Stay informed about updates or changes to accounting software or systems.

  12. Documentation and Reporting:

    • Document data entry procedures and protocols for reference and training purposes.
    • Prepare regular reports on data entry activities, accuracy rates, and productivity metrics.

Qualifications:

  • 5 years of Administrative Assistant experience
  • Knowledgeable and proficient in the use of accounting software
  • Strong ability to stay on task until completion
  • Bilingual is strongly preferred

Compensation is determined based on individual ability and level of experience.
