Job Title: Temporary Administrative and Event Coordinator

Location: Charlottesville, VA (In-Person)

Pay: $20/hour

Schedule: Part-Time, Flexible (20 hours/week)

Position Summary:

As our Administrative and Event Coordinator, you'll play a pivotal role in ensuring the seamless operation of our events and office functions. Your responsibilities will span event planning, office administration, and providing essential project support across various departments. From managing travel arrangements to coordinating event logistics, you'll be at the heart of our operations, supporting our mission to foster dialogue and understanding.

Key Responsibilities:

-Coordinate event planning activities, including travel arrangements, expense reporting, attendee management, and document preparation.

-Facilitate the successful execution of the Summer Research Institute and upcoming events such as San Francisco community event, staff retreat, board meetings, and the India Conversation.

-Utilize tools such as Doodle poll, Google Calendar, Google Sheets, Gmail, and Google Docs to streamline processes and enhance efficiency.

-Support office operations, including travel arrangements for the President, scheduling, agenda creation, minute-taking for meetings, and maintaining a welcoming office environment.

-Cultivate positive relationships within the team and broader community, contributing to a supportive and inclusive culture.

Qualifications:

-A 2-year associate degree or higher, or equivalent education and experience.

-Previous experience in administrative support and event planning.

-Strong problem-solving skills and the ability to manage multiple tasks with a structured approach to prioritize effectively.

-Proficiency in office technology, including Google Workspace and MS Office Suite; familiarity with Salesforce is advantageous.

-Exceptional attention to detail and communication skills, both written and oral, with discretion and professionalism.

-Collaborative nature with a proactive and energetic attitude, fostering positive relationships with stakeholders.

-Ability to maintain confidentiality and demonstrate integrity and credibility in all interactions.

-High emotional intelligence and multicultural awareness, embracing persity.
