We are seeking a full time Project Coordinator to manage critical administration items during award, contract, & project execution.


The Project Coordinator will play a crucial role in supporting the successful execution of our construction projects. This position involves managing the contract award process, issuing purchase orders and subcontracts, scheduling pre-construction meetings, and assisting with various project cost control administrative tasks. The ideal candidate will have strong organizational skills, attention to detail, and a background in construction project coordination.

Requirements:

Contract Management

  • Oversee the contract award process, ensuring all documentation is accurate & completed per designated schedules.
  • Coordinate with company leadership and legal teams to finalize contracts.
  • Maintain a comprehensive records of all contracts and agreements.
  • Develop pre-construction check-lists resulting from contract requirements.

Procurement

  • Write and issue purchase orders and subcontracts.
  • Ensure timely and accurate delivery of materials and services.
  • Work with vendors and subcontractors to resolve any procurement issues.

Pre-Construction Coordination

  • Schedule and coordinate pre-construction meetings.
  • Prepare and distribute meeting agendas and resulting action items.
  • Collaborate with project managers and stakeholders to ensure all pre-construction requirements are met.

Project Cost Control

  • Assist with cost coding and maintain accurate project cost data for active projects.
  • Update and distribute expense reports to project managers and senior management.
  • Update project cost workbooks, ensuring data integrity and accuracy.

Qualifications

  • Bachelor's degree in Construction Management, Civil Engineering, Business Administration, or a related field. Significant experience in related field accepted in lieu (ex. proposal coordination).
  • 3+ years of experience in project coordination, preferably in the heavy civil construction industry.
  • Strong understanding of construction contracts, procurement processes, and cost control principles.
  • Proficient in Microsoft Office Suite, especially Excel, and construction management software.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Ability to work collaboratively in a fast-paced environment.

Preferred Skills

  • Experience with project management software (e.g., Procore, Primavera P6).
  • Knowledge of construction industry standards and best practices.
  • Familiarity with local, state, and federal construction agencies & regulations.

Work Environment

Work environment includes office machines, electronics and filing systems. Frequent lifting materials weighing up to 50 pounds. Constant sitting, typing, and reaching for long periods of time. Must have good hand/eye coordination. Required to sit at a computer for several hours at a time. This position also requires working in various construction job sites that can expose you to extreme weather conditions, such as high heat and humidity, cold, ice, snow, and rain. The job sites can also be loud due to the noise level from moving mechanical parts. Additionally, you may be required to perform strenuous physical labor under adverse field conditions, lift heavy objects, and walk or stand for long periods.


Physical Demands

The job requires you to have excellent stamina and physical strength to perform the essential functions of the job, including lifting, pushing, pulling, or carrying heavy objects. You will also need good manual dexterity and multi-limb coordination to operate machinery and perform tasks effectively. The job requires you to work on uneven, steep, slippery, wet, muddy, and inconsistent ground, and you must be able to quickly move your arms and legs.
